Paw Pass Terms and Conditions & Photo Consent Agreement
All Paw Pass users must accept the College of Southern Nevada’s terms and conditions and photo consent agreement before provisioning their Paw Pass. The policies below are available at https://pawpass.csn.edu/ and are updated regularly. Any updates supersede all previous terms and conditions that affect future and current Paw Pass issuance. The Paw Pass Office reserves the right to change or update the terms at any time without notice. Use of the Paw Pass may be revoked at the college’s sole discretion for violations of the policies and terms. Any policy violations related to Paw Pass usage should be reported immediately via email to Paw.Pass@csn.edu. Activation of your Paw Pass account signifies agreement with the terms and conditions and photo consent agreement contained herein. While there is no limit to the number of purchases or balance amount, the Paw Pass Office reserves the right to implement limits on passholders to prevent Paw Pass abuse or misuse.
Paw Pass Photo Consent Agreement
Paw Pass is the official identification credential certifying the user’s status at the College of Southern Nevada as a current student, employees, or vendor affiliate. Certain CSN services and privileges may not be accessible without a valid Paw Pass. Every passholder is held responsible for reading and understanding all applicable policies, agreements, and the terms. CSN is not responsible for any transactions when your physical or mobile Paw Pass is out of your possession. CSN has the right to collect data related to a user’s usage of the Paw Pass program. Whether you are provisioning online, through an application, or at an in-person appointment, activation of your Paw Pass account signifies you are agreeing to the College of Southern Nevada’s (“CSN”) terms and conditions and photo consent agreement.
Photo Submission Standards
All enrolled students and college employees are required to have their photo on file that meets the Paw Pass Office requirements. The College of Southern Nevada is the owner of the photos and are shared with the Human Resources department and CSN’s PeopleSoft system for administrative purposes. In addition to identity verification, other purposes may include but are not limited to: proctored testing, advertising, photo rosters, or instructional support. Any CSN applications, mobile or networked systems, online resources, or digital communication can also be used in conjunction with user photos. If you do not consent to the use of your photo, access to services and resources may be negatively impacted or denied. To review the photo submission guidelines policy visit pawpass.csn.edu. Photo submissions must match legal identification likeness, and a valid government-issued photo identification must be uploaded or shown to the Paw Pass Office. Once a photo is uploaded in Atrium, you cannot submit a new photo without a processing fee of $10. Students and employees will need to attach a photo to match legal identification likeness such as a valid: Passport, Driver’s License, or Green Card. A high school ID may be accepted if verified in person during a scheduled appointment. The photo needs to be validated and meet certain criteria, substantiated with other government approved photos. The Paw Pass Office follows standards set by the U.S. Passport image guidelines. To view dress code policy for photo upload and other standards visit U.S. Passport Photos (state.gov).
Use and Ownership
All provisioned Paw Passes and printed Paw Passes administered by the Paw Pass Office are owned by the College of Southern Nevada. These are issued for the user’s convenience while enrolled and/or employed at CSN and must be surrendered upon a passholder’s exit from college enrollment and/or employment. Users are required to carry their Paw Pass and must show to any authorized CSN members if requested. Authorized CSN members shall have the right to inspect any Paw Pass and Paw Pass data at any time. A valid government-issued photo identification is required to be shown/uploaded upon receiving a Paw Pass for verification of the user. Only the user can use their Paw Pass for any financial transactions or services rendered by CSN. The mobile Paw Pass and physical Paw Pass are non-transferable (the Paw Pass is only to be used by the person to whom it was issued). Any fraudulent use, including alteration or duplication of any Paw Pass, can result in confiscation and/or disciplinary action. Any improper use of privileges associated with the Paw Pass allows the Paw Pass Office to deactivate any account or suspend any deposits or privileges that may be deemed as fraudulent/misuse activity.
Confidentiality Agreement
Unless a court order or government legislation requires, users’ personal information, user accounts, and data will remain
confidential to comply with FERPA. The college will not release the passholder’s photograph outside of the college, unless required by law, or with the passholder’s permission. Any third party that is connected to the One Card system to provide the on-line account management feature for user convenience is prohibited from using this data in any manner. CSN will comply with all applicable laws and college policies regarding the use of information and stored images.
Costs
Every student and employee will receive their first mobile or physical Paw Pass free of charge. Paw Passes are also free when changing from student to employees or legal name changes. The replacement fee after a legal name change is free with proof from the Office of Registrar or Human Resources. New Paw Passes can only be issued if the new legal name appears in PeopleSoft or Workday and matches the user’s new government issued photo identification. A defective Paw Pass will be replaced at no charge. The passholder shall not alter or interfere with the graphics or data of the Paw Pass and shall take care to ensure that it is not interfered with or tampered with. Physical Paw Passes that have been visibly altered will be considered damaged and defective. If your Paw Pass is expiring, bring your existing physical Paw Pass to the Paw Pass Office before the expiration date for a free replacement. You must return the old Paw Pass in order to receive a replacement at no charge during your scheduled appointment time. Once a photo is uploaded in Atrium, you cannot submit a new photo without a processing fee of $10. The remaining account balances will be transferred to the new Paw Pass. There are no cash refunds of any kind. Upon formally recognized departure from CSN, users may request a refund of the remaining monies in their Paw Pass account after a $10 processing fee. Users must submit a Refund and Closure Request Form (located under forms at pawpass.csn.edu). Users must complete the form, sign, and email Paw.Pass@csn.edu for approval. Exit status will be confirmed by the Paw Pass Office before any action is taken. Deposits made by the College of Southern Nevada as credit are not eligible for a refund. Any misuse or suspected fraudulent activity related to refunds or charges will lead to confiscation of your Paw Pass and your Paw Pass account may be closed. The Paw Pass Office reserves the right to temporarily inactivate any account during an investigation of charges, returns, or suspected misuse. The Paw Pass Office reserves the right to make any necessary adjustments/corrections to a user’s account if misuse is determined.
Your first physical or mobile Paw Pass is free. A $10 replacement fee will apply at your scheduled appointment time for any replacement physical passes issued. If switching from a mobile pass to a physical pass, a $10 replacement fee applies. There is no charge to switch from a physical pass to a mobile pass.
Deposits/Funds on the Paw Pass
Utilizing Coyote Cash, Cub Grub, or any other forms of payment related to the Paw Pass is optional. Deposits can be made via ACH/transfer, credit card, and debit card online at https://connectcsn.atriumcampus.com/. Funds are available immediately after a deposit is made. A parent or guest login is available to deposit funds on the passholder’s behalf at https://connectcsn.atriumcampus.com/. There are no cash refunds of any kind once deposited. When a student or employees is departing from the College (withdrawing from classes or ending employment) a refund check can be issued once a Refund and Closure Request Form at pawpass.csn.edu is submitted with a $10 processing fee. Balances are non-interest bearing. Users’ positive balances carry forward to the next term or year and funds never expire. The passholder agrees to be solely responsible in any event where a credit card is billed back or declined due to insufficient funds.
The user is solely responsible for immediately reporting and deactivating a lost or stolen Paw Pass. The quickest way to deactivate your Paw Pass is by logging into your Paw Pass account at https://connectcsn.atriumcampus.com/ as this option is available 24/7. Reports can also be made via email at Paw.Pass@csn.edu. Users will remain responsible for all account activity until deactivated, regardless of whether such use is authorized by the user. If you find your Paw Pass later, it may be reactivated, and the old Paw Pass number will remain activated.
Managing Funds
The College of Southern Nevada and the Paw Pass Office are not responsible for misused funds, any unauthorized charges, or lost and stolen Paw Passes. All remaining balances and funds roll over from semester to semester with no loss of funds or expiration date. If insufficient funds occur after making purchases with your Paw Pass, the college may place the amount of balance due on the student’s bill that must be paid prior to graduation. For employees and students who end their employment or enrollment with CSN with a balance of over $10, refunds will be processed upon submission of a Refund Request Form found at pawpass.csn.edu.
Dispute Procedures
Errors on receipts from local on and off campus merchants should be first addressed with the merchant directly. If the dispute cannot be resolved with the merchant, the passholder should contact the Paw Pass Office by e-mail at Paw.Pass@csn.edu. Contact with the Paw Pass Office must be initiated within thirty (30) days of the transaction date(s). Failure to request error resolution in a timely manner will result in the loss of a refund. When making a request for an adjustment to the account, the passholder must provide the following information: 1. The passholder’s name and NSHE ID number; 2. A description of the transaction in question and explanation of the discrepancy; 3. The dollar amount of the transaction in question; 4. Provide all evidence and receipts via email; and 5. Approximately, when and where the error took place. All disputes related to Grubhub orders will be resolved with Grubhub directly. For pass or promo code issues email grubhubforcampus@grubhub.com. Data Access, Reader Requests & Integrations with the Paw Pass
All Paw Pass readers, scanners, and any other associated technology requiring procurement, configuration, and the use of hardware, software, or interfacing with the Paw Pass must be pre-approved by the Paw Pass Office, Facilities Services Department (for building access), the Office of the Registrar (for student data), and/or the Human Resources Department (for employee / affiliate data) to ensure compliance with privacy, security, and other applicable college policies. Requests to install readers for other services (e.g. printing, equipment check-out, event admission, attendance tracking, etc.) or to access Paw Pass data must be initiated via submission of an Activity Reader and Data Request Form. The Facilities Services Department has purview of approvals for any access control hardware, functions, and integrations related to Paw Pass uses. Unauthorized deployment of hardware or software leveraging or interfacing with Paw Pass technology will result in additional costs incurred by the unauthorized acting department.
Glossary
The terms “passholder”, “user” and “users”, “you” and “your” in the above listed Terms and Conditions refer to the person whose name and image appear on the Paw Pass. These include enrolled students, employees, and any College affiliates/vendors.
The terms “College”, “College’s” and “CSN” refer to the College of Southern Nevada.
The terms “Paw Passes” or “Paw Pass” refers to the official identification issued by the College.
Coyote Cash – Refers to funds deposited in a user’s Paw Pass account that can be spent on campus related transactions.
One Card system – Atrium is the College’s campus card network associated with Paw Pass and the Coyote Cash and Cub Grub declining balance accounts, both online and within the application.
Paw Pass Office – The solely approved location where Paw Pass can be issued and administrative processes are conducted.
Valid government-issued photo identification – includes the following:
Passport (any country or region), Driver’s License, Permanent Resident (PR) Card issued by the Government of U.S. or
Armed Forces Identification Card. These IDs cannot be expired. Expired IDs are considered invalid.
Student – An individual who is registered for classes at CSN during the current semester.
Employee – An individual who is employed by CSN with an active classification in HR’s Workday system.
Affiliate – An individual who is not a CSN student or employee who is working on campus whose job responsibilities require a photo ID for building access.
Provisioning a Paw Pass – The process of creating and assigning a mobile identification credential to a device through the Atrium Campus Connect application.
Identification Credential – A digital identity document that’s stored on a mobile device, like a smartphone or smart watch, that can be used to verify a user’s identity, make secure cashless payments, or give certain building access.
